Bookkeeping Cleanup & Catch-Up
Bookkeeping Cleanup and Catch-Up Services
If your books have fallen behind or need correction, we bring them current by reviewing past activity, correcting miscategorized transactions, reconciling accounts, and establishing a clean starting point for ongoing bookkeeping.
Who It’s For
When Your Books Need More Than Monthly Bookkeeping
Our cleanup and catch-up service is for businesses whose records have fallen behind, contain errors, or no longer reflect what is actually happening in the business. We review past activity, correct what needs correcting, and bring your books current so monthly bookkeeping can start from a reliable foundation.
Want to understand cleanup in more depth first? Read our guide, Bookkeeping Cleanup: When You Need It.
Cleanup is often a fit for
- Business owners whose bookkeeping has fallen months behind
- Businesses whose books contain errors or have never been reconciled
- Owners who changed bookkeeping systems without checking opening balances
- Businesses where personal and business activity have been mixed
- Anyone who avoids their financial reports because they do not trust them
Warning Signs
Signs Your Books May Need Cleanup
If any of these sound familiar, a free evaluation of your books is a good first step. We’ll learn about your business and your current bookkeeping system, and discuss whether cleanup is the right place to start. For more on what to look for, read Are Your Books Telling You the Truth?.
- Bank or credit card accounts that haven’t been reconciled
- Transactions still waiting to be categorized
- The same transaction recorded twice
- Account balances that are negative or don’t add up
- A Profit & Loss statement that doesn’t make sense
- Balance Sheet items nobody can explain
- Reports that don’t match what you know about the business
- Bookkeeping that is months behind
Our Process
A Structured Approach to Cleanup
Step 1: Define the Scope
Together, we confirm which months or years need attention and settle on priorities and deliverables before any work starts.
Step 2: Gather Your Records
You provide bank, credit card, and loan statements, along with invoices and supporting records. We use them to support each correction.
Step 3: Review and Correct
We review past activity, correct miscategorized transactions, match transfers between your accounts, and look into old customer and vendor balances.
Step 4: Reconcile and Bring Current
Accounts are reconciled and your books are brought current, establishing a clean starting point for ongoing bookkeeping.
Our goal is accurate books, not better-looking numbers. Every correction is based on your records, and the scope of each cleanup reflects the condition your books are in.
Chase Warner Corp. does not provide tax preparation services. When clients require tax preparation, we refer them to a CPA. A completed cleanup gives you accurate, organized financial records you can provide to your CPA. If earlier periods were already used for filed tax returns, your CPA may need to review proposed changes to those periods before they are made.
QuickBooks Online
Cleanup and Reconciliation in QuickBooks Online
Many cleanup projects start inside QuickBooks Online. We review your file, correct classifications, fix how transfers, credit card payments, and loan payments are recorded, and reconcile bank and credit card accounts so your reports reflect what actually happened.
Common issues we find in QuickBooks Online files
- Bank-feed transactions accepted without review
- Transfers between your own accounts recorded as income or expenses
- Credit card payments that duplicate the original charges
- Loan payments not split between principal and interest
- Connected apps that introduce duplicate or unexpected transactions
- A chart of accounts that no longer fits the business

After Cleanup
From Catch-Up to Monthly Bookkeeping
Cleanup brings your books current. Monthly bookkeeping keeps them that way, so the same problems don’t build up again.
Ongoing monthly bookkeeping clients receive categorized transactions, reconciled accounts, a month-end review, and a monthly Profit & Loss and Balance Sheet. Applicable ongoing bookkeeping clients also receive a personalized monthly financial-statement video review.
