Privacy Policy
Effective date: October 30, 2026
Chase Warner Corp. ("Chase Warner," "we," "us," or "our") respects your privacy. This Privacy Policy explains how we collect, use, and protect personal information when you visit www.chasewarner.com (the "Website"), schedule a consultation, or contact us by telephone or email.
Information You Provide to Us
We collect personal information when you choose to provide it, for example when you schedule a consultation, submit our inquiry form, email us at jack@chasewarner.com, or call us at 972-616-3323. The Website does not require you to create an account. This information may include your name, email address, telephone number, business name, and details you choose to share about your business, bookkeeping needs, or questions.
Scheduling Through HubSpot Meetings and Zoom
We use HubSpot Meetings, a scheduling tool provided by HubSpot, Inc., to let visitors book a free evaluation of their books. Our scheduling calendar appears in a pop-up window when you select a scheduling button and as an embedded calendar on our Contact page and bookkeeping evaluation page. If the calendar cannot load, you may be taken directly to HubSpot's scheduling page.
When you schedule a meeting, HubSpot collects the information you enter, such as your name, email address, selected appointment time, and any answers to scheduling questions, and stores it in our HubSpot account so we can confirm and prepare for your meeting.
HubSpot's scheduling calendar and its supporting script are loaded from HubSpot only when you point to, tap, or select a scheduling button, or visit a page where the calendar is embedded. Unlike our HubSpot tracking code, the scheduling calendar is available to every visitor who chooses to use it, regardless of location. When it loads, HubSpot receives technical information such as your IP address and the address of the page where the calendar appears. If HubSpot's tracking cookie is already present in your browser, your booking may be associated with your earlier visits to the Website. HubSpot and its service providers may use cookies and similar technologies within the scheduling calendar, on HubSpot's own domains, for purposes such as security, fraud and bot prevention, and making the calendar work. For example, a security cookie named __cf_bm may be set to help protect HubSpot's infrastructure from automated bot traffic. The specific cookies used are determined by HubSpot and may change; please review HubSpot's Privacy Policy (opens in a new tab) and HubSpot's cookie information (opens in a new tab) for details.
Meetings are held by video conference through Zoom, a service provided by Zoom Communications, Inc. When you book, a Zoom meeting is created for your appointment through our Zoom account, and the meeting link is included in your confirmation. When you join the meeting, Zoom collects information as described in Zoom's Privacy Statement (opens in a new tab).
Inquiry Form
Our bookkeeping evaluation page includes an inquiry form provided by HubSpot. When you submit the form, HubSpot collects the information you enter, such as your name, email address, telephone number, and a description of your bookkeeping needs, and stores it in our HubSpot account so we can respond to your request. If HubSpot cookies are already present in your browser, your submission may be associated with your earlier visits to the Website. The form is loaded under the same conditions as our HubSpot tracking code described below; visitors for whom it does not load may contact us by email or telephone instead.
How We Use Information
We use the information you provide to:
- respond to your inquiries;
- schedule, confirm, and prepare for consultations;
- contact you by telephone or email about your inquiry;
- send proposals or information about services you have discussed with us;
- provide services if you become a client; and
- maintain records for legitimate business, legal, and accounting purposes.
Customer Relationship Management and Follow-Up
If you receive a proposal or information about our services, we may record your contact information and details of our discussions in a customer relationship management (CRM) system. We may follow up with you, typically three or four times, about the services we previously discussed. You may ask us to stop these follow-up communications at any time by replying to our message, emailing jack@chasewarner.com, or calling 972-616-3323.
Client Information
Information that clients provide during an engagement, such as financial records and access to accounting software, is handled separately from ordinary Website inquiries and is not used for Website analytics.
Website Hosting
Our Website is hosted by Vercel Inc. Our hosting provider automatically receives technical information when you visit, such as your IP address, browser and device type, pages requested, referring web address, and the date and time of your visit, in order to deliver the Website, maintain its security, and diagnose technical problems.
Google Analytics
We use Google Analytics 4, a web analytics service provided by Google LLC, to understand how visitors use the Website. Google Analytics uses cookies and similar technologies to collect information such as pages viewed, time spent on pages, approximate location, device and browser information, and how you arrived at the Website.
We also record when a visitor opens our scheduling window, completes a consultation booking, successfully submits our inquiry form, or selects our telephone number on our bookkeeping evaluation page, so we can understand which pages lead to inquiries. These records include only non-personal details, such as the page where scheduling began. We do not send your name, email address, telephone number, appointment details, or financial information to Google Analytics.
We advertise through Google Ads and link our Google Analytics and Google Ads accounts so we can measure, in aggregate, whether visitors who arrive from our ads go on to book a consultation or submit an inquiry. When you click one of our ads, Google adds a click identifier to the web address of the page you land on, which Google Analytics may use to attribute these actions to the ad. We have not enabled remarketing, advertising personalization, or Google signals, and the Website does not set Google advertising cookies.
Google Analytics is not loaded for visitors whom our hosting provider identifies as being located in the European Economic Area, the United Kingdom, or Switzerland, or whose location cannot be determined. For these visitors, the Google Analytics script is not downloaded and no analytics information is sent to Google. To make this determination, the Website uses the approximate country that our hosting provider derives from your IP address when delivering the Website. We use this country information only to decide whether to load Google Analytics, and we do not store it.
Google processes this information under its own policies. Learn more about how Google uses information from sites that use its services (opens in a new tab) and read Google's Privacy Policy (opens in a new tab).
HubSpot
We use HubSpot, a customer relationship management and marketing platform provided by HubSpot, Inc., to understand how visitors find and use the Website and to manage our relationships with prospective and current clients. When the HubSpot tracking code loads, HubSpot uses cookies to record information such as the pages you visit, the date and time of your visits, your device and browser, the website or advertisement that referred you, and any campaign information included in the link you followed.
This information is initially collected without directly identifying you by name or email address. It may become associated with your contact record in our CRM if you later identify yourself to us, for example by clicking a link in an email we send through HubSpot.
The HubSpot tracking code is loaded under the same conditions as Google Analytics. It is not loaded for visitors whom our hosting provider identifies as being located in the European Economic Area, the United Kingdom, or Switzerland, or whose location cannot be determined. Other than the inquiry form and the scheduling calendar described above, which may appear in a pop-up window, we do not use HubSpot forms, chat, or pop-ups on the Website.
Cookies and Your Choices
Google Analytics may set cookies named _ga and _ga_ followed by an identifier. These cookies are set to last up to two years after your most recent visit to the Website, although your browser may impose a shorter limit, and you can delete them sooner. HubSpot may set cookies named __hstc and hubspotutk, which recognize returning visitors and expire six months after they are set; __hssc, which tracks the current visit and expires after 30 minutes; and __hssrc, which expires when you close your browser. When the HubSpot tracking code loads, HubSpot's content delivery provider may also set a cookie named __cf_bm on HubSpot's own domain; it helps protect HubSpot's infrastructure from automated bot traffic and expires after 30 minutes. Other than Google Analytics and HubSpot, the Website does not itself place cookies; HubSpot's scheduling calendar (as described above) and YouTube may set their own cookies when their features load, as described in their policies.
You can:
- block or delete cookies through your browser settings; or
- opt out of Google Analytics with Google's browser add-on (opens in a new tab).
Analytics data associated with cookies and other identifiers is retained in Google Analytics for 14 months. This retention period restarts when a returning visitor is active on the Website, so data about a returning visitor is kept until 14 months after that visitor's most recent activity and is then deleted. Aggregated reports may be kept longer.
Embedded Video
Our homepage includes a video hosted on YouTube, a Google service. The video player loads only if you choose to play the video. Once loaded, YouTube may collect information and use cookies as described in Google's Privacy Policy (opens in a new tab).
How We Share Information
We do not sell or rent personal information about our clients or prospective clients. We share information only as needed to operate our business, including with service providers that support our Website, scheduling, analytics, communications, and records, such as our hosting, scheduling, analytics, email, and CRM providers. We may also disclose information if required by law, to protect our rights or the rights of others, or in connection with a merger, acquisition, or sale of all or part of our business.
Data Retention
We keep personal information only as long as reasonably necessary for the purposes described in this policy, including responding to inquiries, maintaining business records, and meeting legal or contractual obligations. When information is no longer needed, we take reasonable steps to delete it or keep it in a form that no longer identifies you.
Security
We use reasonable administrative, technical, and physical safeguards to protect personal information. No internet transmission or electronic storage is completely secure, and we cannot guarantee absolute security.
Your Requests
You may contact us to ask what personal information we hold about you, or to request that we correct or delete it, subject to legal and business record-keeping requirements. You may also ask us to stop follow-up communications. We will respond within a reasonable time and may need to verify your identity before acting on a request.
